Workflow Meets Flexibility: How We Balance Structure with Client-Centric Creativity
By Weave, June 11 2025

In the world of film and video production, structure is important, until a project requires you to break all the rules.
At Weave, we’ve built our production and post-production workflow to be rigorous, reliable, and refined over years of experience. But we also know that no two clients – and no two organisations – work the same way. That’s why our process is designed to be flexible where it matters most.
Because a good workflow doesn’t just serve the production team – it serves the client, too.
Our Core Production Workflow
While every project is different, our typical workflow follows a proven structure:
1. Discovery & Briefing
We begin with a deep dive – understanding your objectives, audience, and internal rhythms. Are we building from a detailed brand bible? Or starting with a blank page and a bold idea? This phase sets the tone for everything to come.
2. Pre-Production
From scripting to scheduling, location scouting to casting, this is where the foundation is laid. We map out timelines, assign roles, and get everyone aligned – but always leave room for your internal processes, reviews, and sign-offs.
3. Production
Shoot days are where the magic happens. Thanks to strong pre-production, they run like clockwork – but we also remain agile. If you need to shift an interview slot or pivot a scene mid-day, we adjust.
4. Post-Production
Editing, sound design, colour grading, animation – our post team works in phases with clear feedback cycles. Whether you prefer consolidated revisions or ongoing collaboration via shared platforms like Frame.io, Vimeo or cloud drives, we adapt. Our post-production process includes sit-in edits, allowing clients to feedback in real-time and ensure every frame perfectly matches their vision.
5. Delivery
Final files are prepared in formats that work for your needs – from broadcast-ready 4K to social-friendly vertical cuts. We also offer flexible rounds of changes to ensure the final output fits your internal and external rollout plans.
Where Flexibility Comes In
We understand that not every organisation is structured like a production company. You might need:
- Extra time for internal approvals
- Coordination with multiple stakeholders
- Adaptations for regional teams or languages
- Visuals that align with evolving brand guidelines
We plan with this in mind. Our schedules include buffer periods. Our revision systems are tiered to fit your feedback structure. Our editors can work concurrently on multiple outputs. And we’re always ready to pivot when needed.
Collaboration is key – and that means meeting you where you are.
Built for Creatives, Calibrated for Clients
Our team is made up of creatives, yes – but also planners, producers, and people who love structure. We keep our processes transparent and collaborative. But more than that, we listen.
We don’t just ask “what’s the brief?”
We ask:
- Who needs to sign off on this?
- What internal deadlines are you working with?
- How does this video fit into your broader campaign or goals?
By understanding your workflow, we integrate better into it.
No Ego, Just Execution
We’re proud of our process, but we never let it get in the way of what matters most: delivering the best possible work for your team, in the way that works best for you.
Whether you’re a marketing team with tight campaign windows, an NGO balancing stakeholders across time zones, or a startup still finding your voice – we flex with you.
Because at the end of the day, a great production process doesn’t just create great videos. It creates confidence, clarity, and trust.
Let’s build something together – your way, with our structure.
